Details:
The Office and Administrative Support position will perform administrative work of a diversified nature for the Sewer Director; responsible for general office functions, record keeping and the administrative functioning of the Sewer Department office; and responsible for administrative duties relative to on-lot sewage disposal system management.

Specific Roles and Responsibilities:

1. Coordinates the functions of the Sewer Director’s office and responsible for efficiency and smoothness of operation.
2. Acts as Recording Secretary for all Sewer Advisory Board meetings, transcribes and acts on minutes from the meetings.
3. Assists with the preparation of the budget.
4. Receives and resolves or refers citizen complaints.
5. Composes and prepares routine correspondence for signature.
6. Independently prepares recurring reports for signature.
7. Maintains a calendar for the Sewer Director and assures that complete information is available for all matters.
8. Establishes and maintains a variety of files and records at the Township Office and wastewater treatment plant office, as directed by the Sewer Director.
9. Monitors the quality of outgoing correspondence and helps to standardize/upgrade clerical procedures.
10. Arranges meetings and conferences.
11. Coordinates office functions with other county/state departments and local municipalities.
12. Receives and screens telephone calls for the Sewer Director.
13. May respond to contractors and accept permit applications and fees in the absence of the Community Development Secretary.
14. Serves as backup to Township receptionist in answering incoming phone calls.
15. When requested, attends meetings and conferences to furnish information and take notes.
16. Serves as the alternate Sewer Account Clerk.
17. Performs other duties as assigned.


Qualifications:
Knowledge, Skills and Abilities:

1. Knowledge of modern office methods and procedures.
2. Knowledge of the English language, including spelling, grammar, composition and punctuation.
3. Ability to perform secretarial and clerical duties with speed and accuracy without immediate and constant supervision.
4. Ability to transcribe dictation that has been recorded.
5. Ability to operate personal computer with experience in Word and Excel.
6. Ability to communicate clearly and concisely in both verbal and written form.

Physical Requirements:

1. Bending and reaching.
2. Lifting 10-20 pounds.

Minimum Education and Experience:

Prefer four years of experience in customer service, office support, or a related field OR an equivalent combination of experience and training. Entry level applicants with basic computer skills and customer service abilities also considered.
