Brief Description of Duties:
The Assistant to the Assistant Vice President (AVP) of Principal Gifts and Strategic Fundraising Initiatives at Stony Brook University Advancement supports Advancement's mission by providing high-level administrative support to the AVP Principal Gifts and Strategic Fundraising Initiatives and Development leadership.The Administrative Assistant will be responsible for assisting with calendar planning, maintenance and execution, handling travel logistics, and providing general office support. They will work with both internal units and external partners to execute projects that align with Advancements strategic goals.
- Provide administrative support to the AVP of Principal and Strategic Gifts and Development leadership. Manage calendars, coordinate meetings, handle email communications, prepare correspondence, and arrange travel. Process requisitions, purchase orders, and journal transfers, and work with vendors and University Procurement. Ensure timely and accurate administrative support for day-to-day operations and strategic initiatives.
- Gather and compile research materials to support the AVP of Principal and Strategic Gifts in preparation for meetings and strategic initiatives. Compile relevant information, prepare reports, PowerPoint presentations, and correspondence. Ensure follow-up actions are tracked and completed. Support the AVP in managing confidential and high-level communications and documentation.
- At the direction of the AVP, assist with special assignments and strategic projects related to Principal and Strategic Gifts and Development. Ensure timely execution or delegation of tasks, and provide administrative coordination across Advancement teams as needed.

Qualifications:
Required Qualifications (as evidenced by an attached resume):
Bachelor's degree (foreign equivalent or higher). Two (2) years of full-time administrative experience. Experience managing complex calendars. Experience coordinating travel arrangements. Experience using Microsoft Office Suite, Outlook, and Google Workspace.
Preferred Qualifications:
Experience in higher education, hospital and/or a nonprofit setting. Experience using Concur.
